Site Diary

A site diary app for Malaysian construction sites

Raul’s Site Diary is a phone page where your supervisors and foremen file each day’s report: weather, who was on site, progress, anything blocked, and photos. It takes about a minute, it works with no signal, and site staff accounts are free.

Progress

Type how many were done today, for example 6 sets of handrail, and Raul adds the entries up. Anything blocked? Pick Material, Instruction, Weather and more, with the hours lost.

No signal?

The entry is not lost. It is saved on the phone and sends itself when signal comes back, and the Site Diary shows how many entries are waiting.

In detail

What a supervisor fills in, and what the office reads.

01 · FILE IT

Filed in about a minute.

Everything on the form is a tap or a short entry, so a foreman can finish it before he leaves the site.

  • Weather. Fine, Cloudy, Light rain, Heavy rain or Stopped by rain.
  • Manpower on site. Tap the trades or the people who were there. Add a position or a name once and Raul remembers it for next time.
  • Progress. If the office has listed the job’s work items, type how many were done today, for example 6 sets of handrail. Raul adds the entries up, so nobody has to guess a percentage. Work that cannot be counted uses stages: Not started, Started, Half, Nearly or Done.
  • Anything blocked? Material, Instruction, Weather, Client decision, Site access, Manpower, Equipment or Other, with a short description and the hours lost.
02 · PROVE IT

Photos, and a line under each.

Up to 12 photos go into one entry, from the camera or from the phone’s library, such as a photo taken earlier or sent on WhatsApp. A line can go under any photo that needs explaining.

  • Starts from your last entry. “Started from your last entry on this project. Change what is different today.”
  • Anything else today? (optional) Plant on site, Delivered today, Inspected or signed off, and Safety.
  • No empty days. An entry needs at least a photo, a headcount, a blocker or a note.
03 · NO SIGNAL

No signal? The entry is not lost.

When the phone has no signal, the entry is saved on the phone and sends itself when signal comes back. The Site Diary shows how many entries are waiting, so the supervisor does not file the same day twice.

04 · READ IT

What the office sees.

The Site Diary page in Project Management lists every site for the day you choose. Sites that filed show in full, and sites that did not file are named underneath.

  • One job over time. A job’s Site tab shows manpower per day, working days, progress rolling into an overall percentage, blockers and hours lost, plant, deliveries, inspections and safety. Switch between Days, Weeks and Months.
  • Print the day. A whole-day sheet prints as a PDF.
  • A nudge when a site goes quiet. Notifications flag sites with no diary entry for a week.
  • A record that stays put. A supervisor can amend an entry within 24 hours, then it locks. Management can strike a wrong entry through with a reason. It stays readable but stops counting.
  • Diary entries, photos and the hours lost also feed the dispute pack, which lists them in date order.
